Clean a Heavy Consultant DWG in AutoCAD in 5 Minutes

You finish your floor plan in AutoCAD and now your engineer needs it as a background. You could just attach the file and send it. But the drawing is heavy, it has XREFs (drawings linked inside another drawing) that may not open on their computer, and it is full of notes your engineer does not need.

In my office we send backgrounds to the structural, electrical, plumbing and mechanical consultants all the time. Doing it by hand takes a lot of steps. In this article I show my personal method to get it done in about five minutes or less. You will learn what to clean, what to simplify, and how one custom button does the boring part for you.

Why a consultant background needs cleaning first

A background is not your working drawing. Your engineer only needs the linework: walls, doors, windows and the main layout. They do not need your tags, notes or wall types.

Before I send a file, I want to do these things:

  • Clean (purge) the drawing so it is not too heavy.
  • Bind the XREFs so nothing is missing on their computer.
  • Remove the information they do not need.
  • Rename the file with today’s date, so both of us have a record.

Doing all this by hand is slow, so I automate the first part.

How to bind XREFs before sending a drawing

An XREF (external reference) is a drawing linked inside another drawing. If your engineer does not have the same files and paths, the linked drawings simply do not show up.

In my office the setup is layered. My floor plan has an XREF called the base plan. Inside the base plan there is another XREF with the existing plan. The title block and the north arrow are XREFs too. Some offices use blocks for those, and that is fine. It depends on your work.

Doing it manually means this:

  1. Open the External References palette.
  2. Right click each XREF and bind it.
  3. Repeat for every XREF, including the title block and north arrow.
  4. Run PURGE to clean the drawing.

It works, but you must repeat it for every file. That is why I made a tool for it.

How to clean and rename a DWG with one custom button

I created a custom macro button (a one-click tool that runs several commands in a row) called Background Export. When I click it, AutoCAD tells me that a bound copy will be saved with today’s date in my drawing folder. I click OK and that is all.

Here is what I get:

  • A brand new file in my project folder, named with today’s date. For example, October 4, 2026 becomes 100426.
  • All XREFs bound, including the title block, north arrow and base plan.
  • A purged drawing. My original was about 500 and the new copy is smaller.

Then I cut the new file and paste it into the folder I need. I use an email folder named with today’s date, then a subfolder for the MEP backgrounds. When I open the file and check the External References palette, there are no XREFs left.

How to explode bound XREFs so your engineer gets simple linework

After binding, the XREFs become blocks. I do not like sending blocks to an engineer. They get confused when they find a block named base, and inside it another block called the existing plan. I want to send simple linework.

  1. Select the bound drawing and run EXPLODE.
  2. You will see another block appear inside, such as the existing plan. Run EXPLODE again.
  3. Repeat until you only have lines, arcs and other basic objects.

For my plan I explode two times. A good practice goes both ways too. I ask my consultants to bind their drawings if they use XREFs, and to avoid sending nested blocks.

How to remove extra information and keep layers from showing

Now I simplify the plan. My engineer does not need my notes, leaders, tags, wall types or the clearances around the restrooms.

There are many ways to do this. This is the one I like:

  1. Freeze the layers with information they do not need: notes, leaders, tags and wall types.
  2. Select everything that is still visible and move it about 500 feet away.
  3. Use the command to turn all layers back on.
  4. All the unwanted objects are still in the original spot, because they were frozen when I moved the plan. Select them and press the Delete key.
  5. Move the clean plan back 500 feet to its original place.

Why do I not just send the file with frozen layers? Because on another computer some of those layers might be on. I do not want my engineer to see leftover junk and get confused. Deleting it makes sure that cannot happen.

How to create the macro in the CUI

You do not need to be a programmer. This is the process I follow:

  1. Open the CUI (Customize User Interface).
  2. Create a new command.
  3. Give it a name, for example Background Export.
  4. Pick an icon.
  5. Paste your macro code. For my backgrounds-export commands use

^C^C(alert (strcat “A binded copy will be saved with today’s date in your drawing folder”))TILEMODE;1;Z;E;TILEMODE;0;Z;E;qsave;-exporttoautocad;b;y;i;p;.;s;$m=$(edtime,$(getvar,date),”_”MO”DD”YY);;;\_UNDO;2;

6.Test it first. Mine took a few failed tries before it worked.

7. Click Apply, then OK.

8. Drag the new tool to your Quick Access toolbar.

A macro is just a list of commands that run with one click. For example, you could audit, purge, save and close in one go. If you are not using macros, you are wasting time.

Quick recap

  • Do not send your working drawing. Send a clean background.
  • Bind the XREFs, purge, and rename the file with the date.
  • Explode the bound XREFs until only linework is left.
  • Freeze what is not needed, move the plan away, turn all layers on, delete the leftovers, then move the plan back.
  • Set TILEMODE to 0 and zoom extents so the preview works in Windows Explorer.
  • Put it all in a custom macro button so it takes minutes, not an hour.
